What Substitute Management System Does
Substitute Management System is a web platform used by school districts, school administrators, teachers, and substitute teachers to manage day-to-day staff absences. Teachers submit absence requests, administrators review and approve them, and available substitutes (or in-house staff) are matched and assigned to open positions — with automatic email and push notifications at every step.
Districts may optionally connect a Google account to unlock additional features: syncing absences to a Google Calendar, sending notification emails through Gmail, and generating substitute lesson plan documents in Google Docs/Drive using AI. These Google-connected features are entirely optional and are described in detail below.

Your Data & Google Account Access
We only request access to a district's Google account when a district administrator chooses to connect one, and only to power the specific features listed below. We never sell your data or use it for advertising.
Gmail (Send only)
Used to send absence and assignment notification emails from the district's connected Gmail address. We cannot read or manage your inbox.
Google Calendar
Used to list the connected account's calendars and create, update, or remove events for teacher absences and substitute coverage.
Google Drive
Used to create a dedicated "Lesson Plans" folder, store generated documents there, and copy the district's own lesson plan template.
Google Docs
Used to create and format AI-generated substitute lesson plan documents in the district's own Drive.
